Contents Of A Reunion Notice

At a minimum, a Reunion Notice should contain the following:

  • Location of the reunion

    Name of the hotel/motel
    Address
    Driving directions

  • Information on hotel/motel facilities
    Room amenities
    Arrangements for people with a disability
    Restaurant
    Parking
    Date of the reunion

  • Reservation information
    Telephone number/website/e-mail address/facsimile number
    A note that the member should mention being a member of NCVANE
    Rate per night, per room (single or double occupancy)
    Whether the room rate is applicable to any night(s) other than that scheduled for the reunion
    Whether a deposit is required
    Cancellation fee policy
    Date by which reservation must be received. [Some hotels prefer 30-day cutoff date]

  • Brief outline of schedule of events

  • Name/address/telephone number/e-mail address of host

  • Banquet information

    Menu selection
    Cost per meal
    Note whether cost is inclusive (meal, tax, service)
    Availability of bar service

  • Registration form:

    Name of attendee
    Address
    Telephone number
    E-mail address
    Arrival/departure dates
    Whether attendee is staying at the hotel/motel
    Guest(s) name
    Menu selection
    Registration fee
    Name to be noted on payment check
    Name/address where form and payment is to be sent
    Date by which form must be received by host
